Telephoning (Making and receiving telephone
calls)
Learning how to communicate well on the
telephone is one of the top priorities for many students who need to use
English at work. Learning the common phrases that are used on the telephone
helps students know what to expect. However, what students often need most is
practice, practice, and more practice. Telephoning requires special skills as
there are a number of difficulties that arise when telephoning that are
specific to telephoning. The first and foremost difficulty is not being able to
see the person you are communicating with. This lack of visual communication
often makes students, who can communicate quite successfully in other
situations, nervous and thereby hinders their communicative abilities. Add to
this the typical hectic pace of business communication, and you have a
particularly difficult situation.

I
am currently giving a few examples of deep dialogue on making phone calls and
receiving phone calls.
1. Model Dialogue For Making Phone Calls
Caller :
May I speak to Sarah Lee, please ?
Receiver : May I know who’s calling, please ?
Caller : This is Budiman Santoso
Receiver : Wait a moment, Mr. Santoso. I’ll see if
he is available at present. (A few second later)….. I’m sorry Mr. Santoso, but
he is not in his office at the moment. Would you like to leave a message or
call back later ?
Caller : Oh, What a pity. Could you ask him
to call me at 555 5656 please?
Receiver : Anything else, sir ?
Receiver : Anything else, sir ?
Caller : No, thank you.
Receiver : All right Mr. Santoso. I’ll ask him to
call you as soon as he is available. Good bye Mr. Santoso.
Caller : Goodbye.
2. Model Dialogue For Receiving Phone Calls
You : Mandala Corporation, good morning.
May I help you ?
Caller : Could you put me through to Mr.
James, please ?
You : May I know who’s calling, please ?
Caller : This is Johny. Johny Andrean.
You : I’m afraid he is not in his office
right now. May I take a message ?
Caller : Yes, please. Could you ask him to
call me back when he is in ?
You : All right, caller. Anything else,
sir ?
Caller : No, thank you.
You : Right, Mr. Andrean. I’ll ask him
to call you as soon as he is in.
